A warm walk-in cooler is an operating problem before it is a parts problem. Product may be at risk, staff may be opening the door more often to check it, and the equipment may be running in a condition that can worsen. The first response should protect the product, preserve useful information, and keep people away from unsafe electrical or refrigeration work.

Protect the product and close the door
Follow the establishment’s food-safety procedure for a rising temperature. Separate product when the plan calls for it, label what has been moved, and avoid making a safety decision from smell or appearance alone. If another approved cold space is available, use it according to the operation’s handling rules.
Keep the walk-in door closed except when staff must enter. Repeated opening changes the conditions inside and makes the temperature record harder to interpret. Check that the door is not being held open by a cart, crate, or damaged latch.
Do not move heavy product around to reach equipment if doing so creates a lifting or fall hazard. The first response should preserve both food and worker safety.
Record the temperature condition
Write down the reading shown by the normal controller or monitoring system. Note when the reading was taken and whether it is rising, falling, or holding. If the business uses a separate log, keep the record with the incident rather than relying on memory.
Record the last time the cooler was known to be operating normally. Note any recent loading, cleaning, power event, door issue, or change in product placement. These observations help the technician distinguish a cooling failure from a condition that is restricting airflow or adding heat.
Do not change the set point repeatedly to force a result. A control change can hide the original setting and make the service call harder to interpret. If an authorized operator uses a normal control, record the change.
Check the door and visible airflow
Look at the door gasket, latch, and closing action. A torn gasket, a door that does not seal, or a latch that fails to pull the door closed can add a constant heat load. Photograph visible damage from a safe position.
Look for boxes or product blocking evaporator airflow. Do not stack items against fans, coils, or vents. Do not reach through a guard or remove a panel to inspect a fan. If a fan is making an unusual sound, record it and keep clear.
Outside the box, check that equipment vents are not blocked by storage. Do not wash a coil, touch a motor, or open a service cover during the first response. A visible obstruction can be reported without turning the operator into a technician.
Record alarms and equipment behavior
Capture the alarm message or light pattern exactly as it appears. Note whether the compressor, condenser fan, evaporator fan, or defrost indicator appears to run, but observe from a safe distance and do not rely on sound alone.
Record unusual cycling, silence, clicking, vibration, water, frost, or oil-like residue. Do not name the failed component in the log. “The fan is not running” may be an observation. “The fan motor is bad” is a diagnosis that should follow testing.
If a normal operator reset is part of the equipment procedure, record whether it changes the symptom. Do not bypass a control, defeat an alarm, or keep resetting a system that trips or locks out.
Separate operator actions from technician work
The operator can protect product, keep the door closed, check normal displays, clear obvious storage obstructions, and gather records. Refrigerant checks, electrical testing, sealed-system work, panel access, and component replacement belong with a refrigeration technician.
Do not connect gauges, add refrigerant, open an electrical enclosure, or use a tool on the refrigeration circuit. If you smell burning, see smoke, find damaged wiring, or see water near electrical equipment, keep people away and use the emergency procedure for the site.
Give the incident one clear handoff
When the service request is opened, send the equipment name, location, current reading, last known normal condition, alarm text, door observation, and product-protection action in one record. Say who is responsible for the site while the technician is traveling. If the reading changes, add the new observation rather than replacing the original one.
Avoid describing the incident only as “the cooler is broken.” A short sequence is more useful: it was operating, the reading moved, the alarm appeared, the door was checked, and product was protected. That sequence helps the technician choose safe checks and reduces repeated questions during a busy shift.
What the diagnostic and estimate establish
The technician compares the temperature record with the equipment condition, airflow, controls, door seal, defrost behavior, and refrigeration circuit. The written estimate should explain the supported cause and the proposed work. It should arrive after diagnosis and before repair work.
Same or next day service is available where the route allows. That does not replace the need to protect product while waiting or create a fixed arrival promise. Send the service team the site address, equipment type, readings, alarm record, and the action already taken.
