When a restaurant, hotel, or retail refrigeration system loses power, the first restart is only one event in the record. A display may return while the cabinet remains warm. A fan may run while a control, compressor, door, or airflow condition still needs attention. The restart checklist should protect product, document the power sequence, and stop before electrical or refrigeration work.

Record the outage before changing controls
Write when power was lost, when it returned, who observed it, and which equipment or rooms were affected. If a building alarm, generator, utility message, or monitoring platform recorded the event, preserve that record. Note whether the door was opened during the outage and whether product was moved.
Do not fill in an unknown outage duration from memory. Record “unknown” when necessary. A short event and a long event can create different product and equipment questions, but only the actual record should guide the next step.
Protect product and keep doors closed
Follow the site’s product-protection plan. Keep cooler and freezer doors closed except for necessary safety or product movement. Label, isolate, or transfer product according to the operation’s procedure and document who made the decision.
Do not decide that product is safe from smell or appearance alone. Do not load new product into a cabinet just because its display has returned. The equipment record and the product record should remain separate but linked.
Check the normal display and alarm
After power returns, record the controller, display, monitoring system, alarm text, and time. Note whether the equipment shows a normal state, a power-loss warning, a temperature alarm, or no display. Take a photo when safe.
If the manufacturer’s or site’s normal operator procedure allows a restart or acknowledgement, follow it once and record the starting state and result. Do not change set points repeatedly. A reset may clear a message without testing the cooling sequence.
Observe the system from a safe position
From outside guarded areas, note whether a normal fan sound, compressor sound, vibration, water, frost, or unusual cycling appears. Look for a door held open, a damaged gasket, a blocked visible airflow path, or a new floor leak. Do not touch motors, coils, wiring, guards, or service covers.
A display, hum, or fan sound is not proof of normal cooling. Record the observation and compare it with the temperature trend from the normal controller or monitoring system.
Handle breakers and panels as a boundary
If the site procedure permits a normal operator to check an accessible labeled breaker, record its starting position and the result of one safe action. Do not open the panel or disconnect box. A breaker that trips again is a stop condition.
Do not bypass an alarm, use a jumper, connect gauges, add refrigerant, or remove an electrical cover. Power problems can damage controls and create live electrical hazards even when the equipment appears quiet.
Record water, frost, and access
Check floors, thresholds, drain areas, and visible cabinet surfaces for water or unusual frost. If water is near electrical equipment, keep people away and follow the site’s safety procedure. Do not clear an internal drain or scrape frost.
Make sure the technician can reach the equipment without moving unstable stacks or blocking a fire or service path. Add keys, gate details, tenant or manager contact, model and serial if visible, and any quiet-hour or guest restriction.
Escalate when the restart does not explain the condition
Keep the issue in service escalation when the display remains abnormal, an alarm returns, the cabinet is warm, a door does not seal, water or frost appears, a breaker trips, or the equipment behaves differently after power returns. Do not promise that a reset restored the system or that a particular recovery time will occur.
Close the incident record
After the first safe restart observation, write a clear status: display returned or did not return, alarm cleared or remained, temperature record available or missing, door condition, product action, and next owner of the issue. If a manager changes a setting, add the change and time rather than editing the earlier outage note.
Keep the outage record attached to the equipment asset. If several cabinets share a room, identify each one separately and state whether it was affected or only checked. A building power event can explain the timing while leaving an individual equipment fault unresolved.
If a generator or backup circuit was involved, record that as site history without assuming that the equipment received stable power. Do not test a transfer or disconnect as part of the restart checklist. The technician can evaluate the equipment after the authorized power record is complete.
Send one record with the outage timeline, equipment identity, readings, alarms, door and loading observations, product action, physical clues, power action, and access details. State what was not checked because it required a panel or tool.
