The opening round is a good time to find a walk-in cooler problem before a full delivery or prep shift begins. The goal is not to declare a compressor, fan, sensor, or control defective from one reading. The goal is to create a repeatable record of the cooler’s condition before staff add a new heat load and start opening the door.
Follow the restaurant’s food-handling plan first. This checklist does not replace the site’s procedures, a required log, or the advice of the responsible food-safety professional. Start with a safe entry
Make sure the walk-in route is clear and the door can be opened and closed without a cart, box, or person blocking it. Use the normal light switch and look for a safe floor condition. If there is standing water, a damaged threshold, exposed wiring, smoke, or a burning smell, keep people clear and use the site’s safety procedure.
Do not climb on product, move a heavy load alone, or reach behind a guard. An opening check should not create a lifting, slip, entrapment, or electrical hazard.
Record the temperature before loading
Write down the reading shown by the normal controller or monitoring system and note the time. If the site uses a separate thermometer or logger, record that reading according to the site’s procedure. Keep the original display value rather than replacing it with a guess about what the cooler should show.
Note whether the reading is stable, changing, or accompanied by an alarm. Record the last opening or closing round that was known to be normal. A reading with no time or equipment identity is difficult to compare later.
Do not change the set point repeatedly. Do not silence an alarm without recording its text or indicator first. If a normal user reset is part of the equipment procedure, record the action and result, and do not keep repeating it when the condition returns.
Check the door and gasket
Close the door normally and observe whether the latch engages and the gasket contacts the frame. Look for a visible tear, fold, food residue, frost, a bent threshold, or a cart keeping the door open. Photograph visible damage from a safe position.
Do not pull the gasket from its channel, adjust hinges, or force a latch. A door can look closed while a blocked shelf, curtain, or damaged seal allows warm air into the box. Record the exact observation instead of writing “door problem” unless the fault has been tested.
Check visible airflow and loading space
Before loading product, look at accessible air openings and keep storage away from fans, coils, and vents. Do not reach through a guard or remove an evaporator cover. If a fan is silent, noisy, or cycling unusually, note the sound and keep hands clear.
Look outside the walk-in at the equipment area. Storage, cardboard, or cleaning supplies should not block normal service access or visible ventilation. Do not wash a coil, touch a motor, or open a service cover as part of the opening round.
Check alarms, power, water, and frost
Record an alarm message, light pattern, or controller state exactly as displayed. Note visible water, ice, frost, oil-like residue, or an unusual vibration. These are clues, not a parts list. A clear photo can preserve a pattern that changes after the door is opened or the equipment cycles.
If the system has lost power, follow the site’s restart procedure and record when power returned. Do not open an electrical enclosure or reset a breaker repeatedly. A breaker that trips again is a stop condition.
Decide what to do with product
Use the restaurant’s product-protection plan when the opening record shows a concern. Keep the door closed as much as practical and document what was moved, isolated, or held. Do not make a product decision from smell or appearance alone and do not promise that a cooler will return to normal by a particular time.
If the reading is normal but a door, alarm, water, frost, or sound clue is new, keep the observation in the log. A normal reading at opening does not erase evidence of an intermittent condition.
Make the opening round repeatable
Use the same order on every round so that a new employee or relief manager can read the record. Start with the room and asset, then display and alarm, door and gasket, airflow and storage, water or frost, and access. Record “not observed” when a clue is absent and “not checked” when the step was outside the operator’s role.
Do not compare two units by memory or by the way their cases sound. Each cabinet should have its own reading, time, and last-known-normal note. A consistent record can show that a symptom follows a delivery, door event, or cleaning step without claiming that the event caused a component failure.
Build the service handoff
Send the technician the equipment name and location, model and serial if accessible without a cover, opening reading, last normal record, alarm text, door and airflow observations, product action, and access instructions. Mention whether a power event, cleaning, delivery, or shelf change preceded the symptom.
